Privacy Policy

Overview

This policy describes how Adaptix Consulting Ltd. (“Adaptix”, “we”, “us”) collects, uses, and protects personal information when restaurant staff and delivery drivers use the following iOS apps:

  • Order Manager — iPad app for restaurant staff
  • Driver Companion — iPhone app for delivery drivers

These apps are provided to restaurants that license the Adaptix Delivery Platform. For end customers ordering from a restaurant's website, that restaurant publishes its own privacy policy covering customer data.

Information collected by Order Manager

  • Sign-in credentials (username and password) used to authenticate restaurant staff
  • Actions taken in the app, such as accepting orders, marking items ready, and assigning tables
  • Order data (customer name, contact, delivery address, items, totals) needed to fulfill the order. This data originates from the restaurant's customer-facing ordering website.
  • Diagnostic and crash data (see below)

Order Manager uses Bluetooth and your local network only to communicate with thermal receipt printers on the same network as the iPad. It does not transmit those connections to any external service.

Information collected by Driver Companion

  • The driver's phone number and PIN, used to authenticate to the app
  • Order assignment data (pickup location, delivery address, items, customer contact) needed for delivery
  • Precise device location while the driver is signed in and actively on a delivery. This is used to:
    • Show the driver's estimated arrival to the customer through their order-tracking link
    • Confirm pickup at the restaurant and drop-off at the delivery address
    • Help dispatch route subsequent deliveries efficiently
  • Diagnostic and crash data (see below)

Location collection stops when the driver signs out, marks themselves off-duty, or completes their last assigned delivery.

Diagnostic data

Both apps send technical diagnostics and crash reports to Sentry (Functional Software, Inc.) so we can investigate and fix problems. These reports include device type, OS version, app version, the internal context of an error, and may include an internal user identifier. They do not include order contents, payment information, or location coordinates.

Service providers we share information with

We share limited personal information with the following providers, who are contractually required to use it only for the purposes we authorize:

  • Sentry — receives the diagnostic data described above.
  • Apple Inc. — delivers push notifications to the apps via the Apple Push Notification service.
  • Mapping providers — used to display maps and calculate driving routes in Driver Companion.
  • Hosting and infrastructure providers — operate the servers that store order, account, and configuration data.

The apps do not contain advertising, do not use tracking identifiers for marketing, and do not share data with advertising networks.

Retention

Order records are retained as long as needed to operate the platform, support our restaurant customers, and meet legal and accounting obligations (typically 7 years for tax records in Canada). Account information is retained while the account is active and for a reasonable period after deactivation. Diagnostic data sent to Sentry is automatically deleted within 90 days. Driver location data is retained only for the duration of the delivery and a short period afterward for dispute resolution.

Your rights under Canadian privacy law

Under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial laws, you have the right to:

  • Ask what personal information we hold about you
  • Ask for a copy of that information
  • Ask us to correct information that is inaccurate or incomplete
  • Withdraw consent for future use (subject to legal and contractual restrictions)
  • File a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca

Children

Our apps are not directed at children and are intended for restaurant staff and contracted delivery drivers. We do not knowingly collect personal information from children.

Security

We protect personal information with industry-standard safeguards, including encryption in transit (TLS) and access controls on our systems. No system is perfectly secure, but we work with our service providers to maintain reasonable protections.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated through the apps before taking effect.
